PBS group inventory: keep vehicle photos tied to the right store

Keep Canadian dealer-group photographs tied to the actual unit when PBS inventory is searched across stores, with current condition and clear publication ownership.

A dealer group can find the right model at another store and still select the wrong photograph set. Similar color, year and trim are not enough to identify a particular unit.

For Canadian groups using PBS, keep the vehicle identity and its approved pictures together when inventory moves between teams or locations.

Understand the group search context

PBS describes Enterprise Vehicle Locator as a way to search vehicle inventory across stores, including certain separately hosted inventories. Its page notes that setup and permissions matter.

That describes vehicle discovery within the group. It does not prove that every website gallery moves automatically with a unit or that Motuva connects directly to PBS.

Use the stock record, not resemblance

When a salesperson finds a car at another location, confirm the vehicle’s identifying record before taking pictures from a shared folder. Two stores may have near-identical models with different wheels or interior materials.

Keep the approved photo set under an identifier that your team can tie reliably to the actual vehicle. Include the originating location in the working record where that helps prevent confusion. This is a file organization recommendation, not a proposed PBS field.

Review a transfer as a publishing event

If a unit changes location, inspect the public inventory information and photographs after the usual update. A dealership-specific banner or background caption may still name the previous store.

Do not repeat all photography merely because a transfer occurred. Replace images when they are inaccurate, outdated or unsuitable for the new presentation. A clean image of the current car may remain useful; location-specific artwork needs its own review.

Pass condition knowledge with the set

If visible repairs were completed at the original store, make sure the selected images show the resulting condition. Send the next team a clear approved set and note any missing views.

A phrase such as “photos available” leaves too much uncertain. The next owner needs to know which set is current, which unit it belongs to and who has checked the visible condition.

Approve the actual destinations
